đ The 4U Engage Calendar provides Investment Companies and their Wealth Management Company partners with a powerful way to post approved webcast, webinar, and conference call event information for easy, centralized access by Advisors through 4U Engage.
Adding Events to the 4U Engage Calendar begins with adding Content.
On the Content tab choose Add Content > then choose the appropriate Content Type.
Complete all content format fields, taking into consideration new choices and use cases.
Event Invitation - Advisor is used for invitations or email blasts for webcasts, webinars, or conference calls when a broad advisor audience is invited. Addition to the 4U Engage Calendar is an added option when using Event Invitation - Advisor. Example: hosting a quarterly market update for advisors at Partner Company(s).
Event Invitation - Client is used when the target audience is advisor clients. Addition to the 4U Engage Calendar is NOT an option when using Event Invitation - Client . Example: hosting a market update for advisor clients at Partner Company(s).
Email Blast should be used when sending an email blast that is NOT an event. Example: sending a quarterly market update email to advisors at Partner Company(s).
To add to the Events Calendar, choose For Event, which then opens the Event Link field. If you do not wish to add your Event to the 4U Engage Calendar, simply do not click For Event.
The new field Event Link will appear
Event Link allows you to create and/or link to an already created event
Event information input fields will open in the 4U Engage Calendar section at the bottom of the Content form
Click the down arrow and either link to an already established event (by finding it in the list and clicking the title) or Create New Event.
When Create New Event is chosen, enter the Event details.
Best practice suggestion: use the same name/title for the the Event name and Content Title.
Once linked to an Event, the Event name will appear. Click on the green link to see or modify Event details (Event Name, Event Format, Date).
Linked to the wrong Event? No problem, simply click the "x" to remove the selected Event Link and then link to a different Event.
When you select Event Invitation - Advisor, AND you choose For Event webcast, webinar, or conference call, AND the Intended Audience is Advisor Use Only, the 4U Engage Calendar entry fields will appear at the bottom of the page.
Enter all Event details in the fields provided. As you add the event information to the fields on the right, a preview of how the information will appear on the advisor dashboard will auto-fill on the left. Required fields are indicated with a red asterisk.
Important note: Event Invitations cannot be submitted without attesting to the following: This event does not include elements that would trigger a non-cash compensation reporting requirement such as entertainment or paid third party speakers (including those on retainer).
If you have questions about Wealth Management Partner guidelines around Events and/or non-cash compensation requirements, please reach out directly to your contacts at those Partner companies.
Once all Event information has been added and the attestation box has been checked, make the Content available to the appropriate partner companies.
How do I indicate CE is available for an Event?
The CE indicator for an Event is surfaced by adding the Event Content (slide deck, etc.,) as a Presentation and choosing the appropriate Event Link. Once the Presentation is Approved, the CE indicator will appear on your 4U Engage Event.
Approval Requests will be created for each Wealth Manager partner company and will follow their established workflow rules. Proceed to Approval Requests to customize, if needed, and submit to partner companies.
After the Wealth Manager partner approves the Content, the Event is viewable to advisor users in 4U Engage on the Browse tab.
Changes to Event Details or Form Fields
Changes to any of the Content Form Fields, or event details begin at Content with Add New Version. Click Add New Version, make necessary changes, and click Make Available.
NOTE: The Category/Subcategory has been moved to the Content Details Section. Edits to this field do not require re-review, but you must hit Add New Version in order to edit the field.
Calendar Events are linkable to other Content Formats, like Presentation. Much more to come about this feature!
Q: What if I add something to the 4U Engage Calendar and then, for any reason, I need to remove it from the Calendar. In this scenario the Event is valid and happening, but for any of a number of reasons, it should not be surfaced on 4U Engage.
A: Navigate to the Content Record and choose Add New Version
In the 4U Engage Settings section at the bottom of the page, toggle off 4U Engage Calendar Applicable. Read and select the attestations and then choose Make Available
