Why this matters
Over time, Approval Requests in Submittersâ queues can pile upâespecially those with a Rejected or Change Requested status. Many of these requests cannot be addressed immediately (or at all), which creates unnecessary clutter for both Submitters and Reviewers.
To help streamline queues and improve visibility, weâve introduced a new Approval Request status: On Hold.
What is the On Hold status?
The On Hold status allows Submitters to remove inactive or low-priority Approval Requests from their active workflowâwithout impacting any previously approved content.
â Available only for Approval Requests currently in Rejected or Change Requested status
â Actionable by Submitters
â Viewable by Reviewers
â Indicates that the Submitter does not plan to revise or resubmit the Approval Request at this time or that a revision is in process
â Previously approved versions of the associated Content Record remain available to Wealth Management partners

âOn Hold differs from No Longer Available. With On Hold, only the specific Approval Request is paused, while any previously approved versions of the Content Record remain visible to partners.
When to use On Hold
Use this when:
Youâve received feedback but do not plan to act on it in the near term
You want to clean up your queue without permanently removing or resubmitting the Approval Request
You want to signal to Reviewers that no action is currently expected

Use On Hold when youâre actively working on corrections but are waiting on another partyâlike a content owner, legal, or compliance teamâto complete their piece. This lets reviewers know no action is needed from them while youâre coordinating behind the scenes.
How to move an Approval Request to On Hold
To change the status of an Approval Request to On Hold:
Go to the Approval Request in either the list view or the form view
Click the three-dot menu (âŻ) in the top-right corner of the request
Select Move to On Hold from the dropdown options

Only Approval Requests in Rejected or Change Requested status will show the On Hold option. If you donât see it, double-check the requestâs current status. (Coming soon for other statuses like Not Submitted and Withdrawn)

Use an Internal Notes to capture why youâre putting the Approval Request on holdâespecially if you're waiting on input from another team. This adds helpful context for teammates who may revisit the request later.
How it looks
Once an Approval Request is moved to On Hold, youâll see:
A grey status indicator both in the Approval Request form and in the Approval Request list
Status visibility for both Submitters and Reviewers
Internal Notes visible only to Submitters
Don't Forget to set Notifications
