Tips to help you find what you need, when you need it!

From time to time, users reach out to our help desk with a question that goes something like this, "I'm looking for a piece about xyz." Having all of the content from your partners at your fingertips in 4U is great, but sometimes your search can give you too many results, making it challenging to find exactly what you're looking for. Here are a few tips to help narrow down your results to find what you need.

Sort By

When you search, you can choose how your results are sorted by clicking the Sort options. As pictured below, you can elect to sort your results by:

  • Keyword Relevance - this puts the results that are the closest match to your search query at the top.

  • Most Recent - this puts the most recent results at the top, but they may not be the closest match.

  • Popularity - this puts the most-viewed content at your company at the top

  • A-Z

  • Z-A

Advanced Search Filters

One of the best ways to find exactly what you're looking for is to apply Advanced Search Filters.

For example, let's say I'm looking for a client seminar on retirement for an upcoming client event. When I search retirement, I see brochures, flyers, white papers, and other types of content in addition to presentations and seminars. Plus I see both Public Use and Advisor Use Only content from across all of my firm's partners.

Applying a few Advanced filters will quickly narrow my results:

  • Content Format = Presentation/Seminar

  • Client Ready = Public Use

  • And if it's still too many results, I might elect to narrow it down by selecting Limit Results to = My Follows, which will narrow down my results to just the partner companies that I follow.

Filtering out the noise

From time to time, you might get some "noise" in your results. The search algorithm "reads" every document. Let's use searching for "Volatility" as our example. You're looking for a piece to send to your clients to explain recent market volatility. Now pick any fund or ETF fact sheet, read the disclosure language, and count just how many times you see "volatility" in the results, and you'll see why there were a lot of seemingly irrelevant fact sheets in your search results.

Try this:

  • In the Advanced Filters, apply the Managing Volatility Keyword Tag. Keyword tags are added by the submitter and are manually, and intentionally selected to tell us that "this document discusses 'managing volatility'".

  • Try adjusting your Content Format filters to eliminate fact sheets and fund reviews.

Bookmark your Favorites

Find something you like? Every piece of content can be bookmarked. You can quickly find all of your bookmarked content with one click to eliminate needing to look for the piece again the next time you need it.

Maybe, It Just Isn't There

Ultimately, it's up to your partner companies to determine which content they submit to your firm. You can always use the Request more info button to reach out to a partner and request that specific content be added to 4U.
